An AI application should solve a defined operating problem, not simply add a chatbot to a website. Useful starting points include extracting information from incoming documents, assisting staff with internal knowledge search, classifying requests, and preparing work for human approval. We start by defining the user, the permitted actions, and the outcome that would make the application worthwhile.

Turn a useful AI idea into a measurable business workflow

An AI application should solve a defined operating problem, not simply add a chatbot to a website. Useful starting points include extracting information from incoming documents, assisting staff with internal knowledge search, classifying requests, and preparing work for human approval. We start by defining the user, the permitted actions, and the outcome that would make the application worthwhile.

What an engagement can include

A project can include workflow discovery, application design, model and data-source integration, evaluation, permissions, and an operational handover. For document-based assistants, retrieval-augmented generation can provide relevant source material to the model. It is not a guarantee of correctness: source quality, access restrictions, evaluation examples, and an escalation path still need to be designed.

Deliverables to agree before work begins

  • A defined use case with success criteria, prohibited actions, and a human-review boundary.
  • A data-source and permission map that identifies which information each user may access.
  • An application workflow with traceable outputs, failure states, and appropriate approval steps.
  • An evaluation set, operating-cost assumptions, and a plan for monitoring quality after release.

Important tradeoffs

Not every automation needs a language model or an autonomous agent. A deterministic rule, search function, or conventional API workflow may be cheaper and easier to verify. Where AI adds value, compare models using your own representative examples rather than select one solely because it is new or popular. Review accuracy, latency, cost, and data-handling requirements together.

Prepare for a project discussion

Bring examples of the work employees perform today, the decisions that need approval, available information sources, and the mistakes the system must avoid. Use anonymized examples for initial discovery. Identify a business owner who can judge whether an output is useful and a technical owner who can approve access to connected systems.

Questions buyers ask

Can AI automate an entire business process?

Some steps may be automated, but important financial, customer, or operational actions may still need explicit approval. Scope the individual steps and their risks before deciding how much autonomy is appropriate.

How is an AI prototype different from a production application?

A production application needs authentication, permissions, error handling, evaluation, monitoring, and clear ownership in addition to a successful demonstration. Testing should include incorrect inputs, unsupported questions, and attempts to access information outside the user's permissions.

How do we know whether the project is working?

Define a baseline for the current process and assess the application on representative tasks. Useful measures can include review effort, task completion, error rates, and accepted outputs. Agree on the measurement method before promising a return on investment.
